What is the setup fee for?
The setup fee pays for the work that has to happen before monthly work makes sense. It is $750 for Starter, $1,000–1,500 for Growth, and $1,500 for Multi-Location. It is paid once, with the first month, before onboarding starts. It covers:
- The full audit: Google Business Profile, geo-grid rankings, website technical, on-page, schema, content, citations, reviews, competitors, and AI search readiness, scored out of 100.
- A strategy document and your 30/60/90-day plan, which becomes the schedule the 90-day delivery exit is measured against.
- The Google Business Profile overhaul: categories, services, description, photos, posts, Q&A, booking link.
- Tracking setup: GA4, Google Search Console, call tracking, rank tracker, and your dashboard.
- A frozen baseline: rankings, reviews, calls, traffic, and what AI assistants say about you on day one.
- The AI readiness foundation: crawlers allowed,
llms.txtlive, Bing Webmaster Tools verified, one agreed description of the practice used everywhere. - The first month of citation work.
What is the AI Readiness Setup?
The AI Readiness Setup is a fixed-scope job for $900, delivered in 10 business days, with no retainer. It is for clinics that are not ready to commit monthly, or that are being offered cheap keyword packages and want to know what a proper foundation looks like first. You get:
- AI crawler access fixed in robots.txt and any firewall (GPTBot, ClaudeBot, PerplexityBot, Google-Extended, Bingbot, OAI-SearchBot, Applebot).
llms.txtwritten and live at your site root.- Schema kit installed: the right clinic type, opening hours, geo, sameAs links, provider Person schema, FAQ schema.
- Google Business Profile overhaul.
- Bing Places and Apple Business Connect claimed and completed.
- One service page rewritten to the answer-first pattern.
- A baseline “How AI assistants describe you” report: 10 prompts across ChatGPT, Perplexity, Google AI Mode, Gemini and Copilot, with screenshots.
It is the Starter setup fee without the retainer. If you move to Starter within 90 days, the $900 is credited against your setup fee. Read more on the AI search visibility page.
What is the Care Plan?
The Care Plan is $99 a month and keeps your website running, updated and backed up. It is included in Growth and Multi-Location, and sold separately to Starter clients and to any site we build. The price stays at $99 even as hosting costs change. It includes:
- Managed WordPress hosting
- Core and plugin updates, tested on staging first
- Daily off-site backups
- Cloudflare firewall, free SSL and security monitoring
- Uptime monitoring
- Up to 30 minutes of small edits a month
What add-ons are available?
Add-ons are sold only to clients on a retainer, because each one works better when the SEO foundation is in place. Prices are separate from the retainer.
| Add-on | What it is | Price |
|---|---|---|
| Google Ads management | Search and Local Services Ads setup and monthly management | 15% of ad spend, $400/mo minimum |
| Social content | 8–12 posts a month across 2 platforms, from your own photos | $400–600/mo |
| Website rebuild | New WordPress site, conversion-focused, SEO-ready, accessibility checked | $3,500–8,000 one-time |
| Landing page | One service or offer page with tracking | $600–900 one-time |
| Review platform | Automated review requests by SMS and email | $99/mo plus platform cost |
| Care Plan | Hosting, updates, backups, security, small edits | $99/mo, included in Growth and above |
What are the terms?
Six months, then month to month, with a delivery exit at day 90. The full terms are in the written agreement you sign before onboarding, and the points that matter are these:
- Term. 6-month initial term on all retainers, then month-to-month with 30 days’ written notice.
- 90-day delivery exit. Your 30/60/90-day plan is an exhibit to the contract. If any deliverable on it has not been delivered by day 90, you can cancel immediately with no notice and no further payment. This is a delivery promise, not a results promise, which is why we can make it.
- Payment. Setup fee and first month are due before onboarding starts. Retainers are billed on the 1st, in advance, by card or ACH on file. Paying three months at once takes 5–8% off.
- Ownership. You own your website, Google Business Profile, ad accounts, content and data. ClinicRankPro is always an added manager, never the owner, and is removed within 5 business days of the end.
- No promise of rankings. Google and the AI assistants control results. The contract says so plainly.
- Third-party costs. Ad spend goes from your card to Google. Call tracking and review platforms are billed at cost as a line item.
Why is each tier shown as a range?
Because a dentist in central Austin competing with forty practices needs more citation, content and review work each month than a chiropractor in Leander competing with six. The range covers that. After the free report we recommend one tier and one number inside its range, on a one-page proposal, valid for 14 days. Nobody is quoted above the published range.
Who is this not for?
Some clinics should not hire us, and it is better to say so here than on a call.
- Clinics that want a promise of a position in 30 days. We cannot make it, and anyone who does will lose you money.
- Practices unwilling to give manager access to their website and Google Business Profile. The work cannot be done without it.
- Practices with an unresolved Google Business Profile suspension, unless a fixed-price reinstatement project is done first.
- Budgets under the Starter tier. We will point you to a DIY guide and check in later.
Frequently asked questions
Why is each tier a range instead of one price?
The range covers how competitive your city is, how many services you want to grow, and the state of your website. Your proposal names one number inside the range and it stays valid for 14 days. Nobody is quoted above the range.
What is the setup fee for?
The setup fee covers the full audit, your strategy document, the Google Business Profile overhaul, tracking setup (GA4, Search Console, call tracking, rank tracker, dashboard), the AI readiness foundation and the first month of citation work. It is paid once, before work starts, and ranges from $750 to $1,500 depending on tier.
Is there a contract?
Yes. Retainers have a 6-month initial term, then month-to-month with 30 days’ notice. The contract also includes the 90-day delivery exit: if any deliverable in your 30, 60 and 90-day plan has not been delivered by day 90, you can cancel immediately with no notice and no further payment.
Can I start with the AI Readiness Setup and upgrade later?
Yes. That is what it is for. If you move to Starter within 90 days of the AI Readiness Setup, the $900 is credited against your setup fee.
Do I own my website, Google profile and content?
Yes, all of it. ClinicRankPro is added as a manager on your accounts, never the owner. If you leave, your access stays and ours is removed within 5 business days. You get a handover document listing everything that changed.
What is not included in the retainer?
Ad spend, which you pay Google directly. Pass-through tools such as call tracking (around $45 a month) and any review platform, billed at cost. Website rebuilds, landing pages, Google Ads management and social content are add-ons priced separately and only sold to clients on a retainer.
Why do you not offer a $199 or $299 keyword package?
Because a package built on counting keywords is an input, not an outcome. At that price the work that moves a clinic (profile overhaul, service pages, citations, review systems, AI tracking) cannot be done. If your budget is under the Starter tier, we will point you to a DIY guide and stay in touch.
Is there a discount for paying ahead?
Yes. Paying three months at once takes 5 to 8 percent off the retainer, depending on tier. Founding-client rates may also be offered in exchange for a testimonial and a case study; ask on the call.
